Administrative Manager

DIG is seeking an Administrative Manager. Candidate should be professional, friendly, and highly organized. This is a full time position: 40 hours/week from Monday through Friday, and will start as soon as possible. Responsibilities include but are not limited to:


·          Training and supervising all administrative staff, including officers, assistants, and interns

·          Keeping track of all recurring bills, including business insurance and employee benefits, rent, financial advisors, internet, and all other regular vendors; and ensuring they are paid in a timely fashion

·          Reviewing purchase orders, expense reimbursements, etc. for errors before processing

·          Preparing credit card expense reports

·          Managing petty cash

·          Processing employee timesheets and leave requests

·          Renewing government registrations

·          HR duties, including:

o    Preparing employment contracts, and process employee new hires and closeouts

o    Administering insurance and other benefits for US-based employees and expats

o    Maintaining detailed and confidential personnel, insurance, and inventory records

o    Prescreening job applicants

o    Passing any reports of harassment or contractual noncompliance along to senior management

·          Office technical support:

o    Maintaining relationships and negotiating with IT support vendors

o    Company email administration through Office 365

o    Editing company website, formatting posts as needed

·          Supporting international program implementation with tasks including but not limited to:

o    Coordinating international travel for US-based employees and expats

o    Maintaining existing relationships and negotiate contracts with overseas hotels

o    Ensuring governmental compliance for all applicable trips

o    Acquiring international visas and work permits

o    Basic copyediting on field reports and other program deliverables

·          Supporting program development with tasks including but not limited to:

o    Assisting the Programs staff in preparation and production of proposals

o    Supporting the recruitment of consultants for various proposals

o    Compiling and formatting Word and PDF documents to look presentable, adhering to strict stylistic requirements

·          Other duties, as assigned.

Experience in international development or government contracting and experience with/fluency in a second language are pluses, but not required.
